Using the Reinhardt Student Email System

The student email system for Reinhardt is hosted by Microsoft as part of their Outlook Live/Outlook Web App system. Accessing your email is done entirely within a web-browser - there is no client software to install nor any settings to configure. The Outlook Web App is simple to use, and these instructions will give you a basic introduction to it.


Logging in

To login to your student email account, open a web browser and go to:

http://www.live.com

That page will look similar to this:  (click the image for a larger view)

We have already created your account on Windows Live (your Reinhardt email account), so you do not need to "Sign Up" for an account.  Simply click the blue words "Sign In" to go to the sign-in page.


On the right side of the screen, put in your full email address - ie - smith12345@students.reinhardt.edu. Your password is your birthdate in the format MMDDYYYY- ie - 07041976 for July 4th, 1976. (Note: If your month or day is less than 10, include a zero in front of the number so that it is two digits long.) It is your choice as to whether you want the browser to remember your login info. Then click the "Sign In" button.

The first time you login, you will get a screen that you have to enter your birth year. Be sure to use your actual birth year.

Then you will have to complete a Settings page where you can select your language and time zone.

Once you have your language and time zone set, click the "OK" button to continue on to the Outlook Web App page.
If you typed in your email address and password correctly, you will then be taken to the Windows Live page. If you notice, your name will be on the right side of the page.

To get to your email, click the "Mail" link at the top of the page (If you don't see a link that says "Mail", look for a link that says "Hotmail" and click it instead). That will normally take you to the Outlook Web App page.



Reading Email

As you can see, the Outlook Web App page has three column zones: on the left are folders, in the center is a list of items in the selected folder, and on the right is a view of the selected item.

Clicking once on an item in the center column will display that item in the right column, as the graphic above shows. If you double-click on the item in the center column, the item will open in its own window.



Replying to an Email

To reply to an email, click on the "Reply" button. If you are viewing your email within the main screen, the button is the at the top.

If you are viewing your email within its own window, the reply button is labelled as such at the top of the window

The Reply window is shown below. Type your message in and click the "Send" button.



Sending Email

To create and send an email, click the "New" button at the top of center column on the main screen.

That will bring up the an empty Message window.

Fill in the recipient list (see the next section on Address Book for help), type in your message, attach any needed files, and click the "Send" button.


Address Book

The Address Book in Outlook Web App is very useful. It contains the email addresses for all of the other students, as well as all faculty and staff. You can use it when creating a new email or replying to an email. The only downside is that the window it opens is rather large, so if any of you are using older monitors or small netbooks, you may not be able to see the entire window and will have to scroll around a bit.

To get to the Address Book, click the Address Book icon in the Message Window

That will bring up the Address Book window. The Address Book will only list the first 500 entries, so you'll probably want to use the Search function to find the names you want.

Type a name in the search bar and click the magnifying glass.

The Search function will return matches for both first name and last name, so searching for "David" will return all of the users with first names that contain David (ie - David, Davidette) , as well as users with David in their last name (ie - Davidson).

Once you find the user, click their entry in the list, then click the "To" button to add them to the recipient list.

You can continue adding recipients if needed. Once you have all of the recipients in the list, click the "OK" button to go back to the Message window.

There is a way to add recipients without going into the Address Book. Simply type their name into the TO field, then click the "Check Names" icon.
(sorry, this isn't the clearest example I could have chosen. The test account's name is "test12345 Students".)

If a matching name is found, it will be added to the list and will turn blue.


If several matches were found, you will be given a list of names to choose from:

Click on the one you want and it will be added to the list.

That's the basics of using the Address Book.


Attachments

You can easily add attachments to an email you are sending. To do so, click the paper-clip icon at the top of the message window.

That will bring up the Attach File window.

Click the "Browse" button to open a standard Windows file dialog where you can find your file. If you need to add more than one file, click the "Choose More Files" link and you will get another line with which you can browse for another file.

Once you've found your file, click the "Attach" button to attach the file(s) to your email.

That's pretty much all there is to adding attachments.


Changing Your Password

To change your password, click on "Options" at the top of the Message window.

That will take you to the Outlook Account management screen. On that screen, click "Change Password".

That will then take you to the Windows Live Account management screen. On that screen, click "Change" under "Password Reset Information".

Windows Live will ask you to enter your password again in a Login box. Do so and click "Sign In".

Finally, you will be at the "Change your Password" screen. Here, you will once again have to put in your current (old) password, then put your desired new password in the two boxes as well. Once your new password gets to 6 characters in the first box, the "strength meter" thing will show you how strong your password is. We suggest you choose something easy to remember that has a few numeric digits one one end (ie - bunny2010 or 2010bunny), but that is entirely up to you. Click "Save" when you have your password in both boxes.

That will take you back to the Windows Live Account screen, and you can navigate back to the main Outlook screen from there.


Forwarding Email

If you wish to forward your Outlook email to another address, you can do so by clicking "Options" in the main Outlook messages window.

That will take you to the Outlook Account management page. On this page, click the link to Forward emails

That will take you to the "Inbox Rules" screen. You shouldn't see any rules in the list. Click "New"

On the "New Inbox Rule" screen, set the "When Message Arrives" box to be "[Apply to all messages]", and set the "Do the following" box to be "Redirect the message to".

As soon as you set the "Do the following" box, a screen for the Address Book will pop-up. On the Address Book, in the "To" field at the bottom, type in the email address you want the emails forwarded to and click "OK".

You should then be back at the "New Inbox Rule" screen, and the fields should be filled in.
Click "Save"

You'll get a small pop-up confirming that you want the rule to apply to all incoming messages. Click "Yes".

You should wind up back at the Inbox Rules screen, with your new rule in the list.

Click the "My Mail" link up near the top to go back to the main Outlook messages screen.


Blackberry/iPhone/other clients

If you have a Blackberry or other smart-phone, you can add your Outlook Live account to the phone so that the phone will send and receive emails for the Outlook Live account. You can also set "old-fashioned" PC email software such as Eudora, Pegasus or Thunderbird, and even Google's Gmail, to check your Outlook Live account.

To setup any of those, you need a few pieces of information about your Outlook Live account in order to configure them. You'll need the Outlook Live server names for POP, IMAP, and SMTP , as well as the port numbers. Unfortunately Outlook Live is stores our email accounts dynamically, so I can't just give you all of that info here as the Microsoft may have our student accounts scattered across different servers within Outlook Live. Fortunately it is very easy to find the server names for your account.

First, login to your Outlook Live account, and go to the Mail screen. On the right side of the Mail screen there is a blue question mark. Click on the triangle to the right of that question mark.

That will bring up a small menu. On the menu, click on "About".

On the About screen scroll down and you will see the entries for External POP, External IMAP and External SMTP - in the sample below, the server names for all three are all "pod51004.outlook.com".

Do note that Outlook Live does not use the "standard" port numbers for SMTP, POP, and IMAP. When you are setting up the account on your phone, it will probably have the standard port numbers listed. You'll need to change your phone/software to use the port numbers listed on the About screen.
(The standard port numbers are: 25 for SMTP, 110 for POP, and 143 for IMAP)

Put the servernames and ports in your phone/software and you should be all set.

Miscellaneous

Web Browser support: Outlook Live works with all of the major web browsers - Internet Explorer, Firefox, Opera, Safari, and Google Chrome.  We strongly recommend that you install and use a browser other than Internet Explorer (Firefox is a good choice), however that is only a suggestion and is not required.

Fonts and pictures: Use font effects (bold, italics, underline, color, size, etc.) sparingly. If you are emailing another student, the effects will show up, no problem. However, if you are emailing a faculty or staff member at Reinhardt, the effects will not show up because our Groupwise client can't parse the font effects properly. We will still get the text of your message, we just won't see the font effects. There is a similar issue with adding "inline" pictures to your message - students will see the pictures as you intended, but we will only see attachments to your email.

Right Clicking: Outlook Web App provides right-click context menus for most things. These menus relate to the item you right-clicked on, and are not the "normal" menu you get when right-clicking in a web-browser.
For instance, right-clicking on an email in the center column gives you this context menu:
