Facilty & Event Reservations at RU

Need to book a space for an event on campus? Reinhardt University utilizes the Ad Astra Event scheduling system for room/space reservations and event scheduling. This tool allows you to find spaces that meet your needs in spaces across our campus. 

This centralized scheduling system is available for students, faculty, staff, and external users. Our comprehensive scheduling system allows you to search for rooms by capacity, layout, or features. Keep reading to learn more about the Ad Astra Events system.

Scheduling an Event

If you’d like to reserve an event or meeting space on Reinhardt’s campus, you can request a reservation through the Ad Astra system. Your request to use the space will need to be confirmed by the space approver for the area. Please submit reservation requests a minimum of 7 days prior to the event date and denote if the event requires security or audiovisual support.

You can navigate to https://www.aaiscloud.com/ReinhardtU and use your Reinhardt credentials to sign in. 

Once accessing Astra Schedule, you’ll be able to request, schedule, or approve events depending on your responsibilities. Current faculty and staff can also submit reservation requests via the forms below:

Student and Student Organizations

Students and Student Organizations can submit reservation request via the form below. Student and Student Organization members have a dedicated form and process to use so that the Student Affairs staff will receive their requests for approval prior to going through the Ad Astra reservation process to the space approvers. These individuals evaluate and grant or deny scheduling requests from students and organizations. The Student Affairs staff does not give approval for use of space–this responsibility lies with the Space approver.

Approving an Event

Space approvers are individuals designated to manage and approve the use of those event spaces assigned to them. When a scheduling request is submitted in Astra Schedule, it is received and evaluated by the space approver(s) for that area. Space approvers will either confirm or deny the use of the space based on the availability of the space requested. Reservation requests are reviewed and processed during normal business hours, Monday to Friday, 8:30 a.m. to 5 p.m. (excluding holidays and university breaks).
