Administrative Assistant - School of Nursing

Reinhardt University is seeking an experienced Administrative Assistant to add to our staff at Jasper location. The Administrative Assistant will report directly to the Dean of the School of Nursing. This is a full-time position with benefits.

Minimum Education & Experience Requirements:

  1. Bachelor’s degree with 3 to 5 years’ office experience (preferably in an academic environment).
  2. Excellent organizational skills.
  3. Proficient with standard office application software, word processing, spreadsheet, database, calendaring required.
  4. Excellent written and verbal communication and interpersonal skills.
  5. Ability to think and act independently, and handle competing priorities.

Primary Responsibilities/Essential Job Functions:

Position will perform as the Administrative Assistant to the academic administrator of the School of Nursing and Health Sciences. Will provide complex tasks such as typing correspondence, detailed precise accreditation documents, function as a receptionist to answer and route calls.  Process and distribute mail; maintain meticulous office files and student records; order supplies and office equipment; maintain financial reports of expenditures; process travel requests, travel reimbursement requests and other forms as needed.  Will assist in maintenance of website and perform related tasks as required.  Judgment and initiative are frequently exercised.  Tasks are normally accomplished within well-defined procedures.

Duties of the Job

  1. Operate all office equipment
  2. Meet and greet students and parents. Screen calls, visitors and mail
  3. Type, using word processing equipment and software, transcribe, assemble and disseminate information.
  4. Enter data in and maintain a database.
  5. Develop and maintain a complex filing system.
  6. Process confidential information for both students and faculty.
  7. Prepare purchase requisitions or purchase orders and control office supplies and equipment.
  8. Answer questions and give information about academic program and make appropriate referrals, some of which may require limited interpretation of policy.
  9. Reconcile budget and expense statements.
  10. Edits, proof-reads, and compiles correspondence, manuscripts, and composes announcements, etc.
  11. Schedule meetings, conferences and travel.
  12. Supervise student workers or volunteers as appropriate
  13. Participate in recruitment activities
  14. Coordinates with the assistance from the dean Community Advisory Committees
  15. Participates in Accreditation Activities, data collection and reports
  16. Coordinates clinical adjunct contracts and payroll
  17. Maintains school of nursing and health sciences social media and websites
  18. Coordinates department scheduling, room scheduling, and calendars
  19. Assist the dean as needed with marketing activities
  20. Assist the clinical coordinator with community contracts and clinical site placements as needed
  21. Travel to Reinhardt University Waleska Campus as required
  22. Assist the dean as a Liaison between Reinhardt and Chattahoochee Technical College
