- 1. Students are required to meet all financial obligations to the University to reserve a room and to live in a University residence hall.

- 2. All students living on campus must be full-time (12 credit hours per semester).

- 3. This contract is between the students, and the University Residents may not transfer, assign or in any other manner rent the room assignment to any other person or organization.

- 4. Priority for the apartments will be based upon credit hours. All residents must meet the required number of credit hours earned and grade point average to qualify for the apartments. First-year students are not eligible to reside in the apartments. All students seeking to live in the apartments must have and maintain a 2.75 cumulative GPA, and have a clean conduct history.

- 5. A $200 refundable housing deposit is required for all residents. It is not considered a pre-payment toward room or board. This deposit is not billed to your student account and must be paid prior to move-in. As a continuing residential student, the $200 is a refundable housing deposit that is held until the student checks out of his/her room/apartment at the completion of their final semester living of campus. Damage costs assessed to the room will be deducted from the $200 deposit and any damage exceeding $200 will be billed to the new student account. Students are only eligible to receive their damage deposit

- Cancellation Policy: If a student cancels this application/contract prior to July 1, 2021 the student will receive back the full balance of their deposit unless the student has an account balance due the Reinhardt University. Any cancellation after July 1, 2021 up until a student moves in will result in forfeiture of deposit only. Any cancellation after July 1, 2021 up until a application/contract due to withdrawal from the University that takes place after a student moves in will be subject to the university refund policy. Any cancellation of this application/contract that the student has moved into campus housing and continues to be entrolled at the University is subject to a contract cancellation fee of $500. Exemptions to this fee includes students who are teaching, participating in internships, or appropriate medical requests.

- 6. Any refunds for room and board will follow the refund guidelines set forth in the Reinhardt University Academic Catalog.

- 7. The University will not honor any assignment request that discriminates based on race, color, religion, disability, national origin, age, or marital status.

- 8. The University will attempt to honor requests for specific roommate, building, or room requests. However, these requests are not guaranteed.

- 9. Every effort will be made to honor mutual roommate requests. In the absence of a mutual request, the Office of Housing and Residential Education will assign roommates. Room assignments will be made on a number of factors including the basis of (a.) date of application and receipt of housing deposit; (b.) class standing; (c.) specific room requests, and (d.) community interests.

- 10. Successful residence hall living requires consideration for others. A residential student is expected to support a positive living environment and to demonstrate considerate and appropriate behavior at all times. The University will enforce the behavioral standards outlined in the Reinhardt University Student Code of Conduct. Residence Life Handbook, and in local, state and federal laws.

- 11. To live on campus, a student must be able to reasonably manage their own medical, emotional, mental, social, and physical needs. If, in the professional judgement of the Dean of Students or a designee, a student is deemed unable to live cooperatively and successfully in a residence hall or apartment, the student may be required to move off-campus.

- 12. A student removed from on-campus housing will not be refunded if dismissed due to violation of the Student Code of Conduct.

- 13. A student may request a room change after the first two weeks of a semester. To request a change, a student must send an email to the Office of Housing & Residential Education. If the rate for the new room is higher than the previous room, the student will be responsible for paying the new balance. Room change requests may be approved or denied based upon the status of a student's account.

- 14. All residential students are required to purchase a meal plan, which is included in the room and board charges.

- 15. Students who lose their roommate during the year will be given the option of keeping their room as a private, if space allows. for an additional cost or they may be consolidated with another student at the discretion of the Office of Housing & Residential Life.

- 16. The Office of Housing & Residential Education reserves the right to relocate residents or change rooms if necessary for the safe or efficient operation of campus housing.

- 17. Room Inspections will be performed to help ensure that health, safety, and maintenance standards are being upheld in each student room. These inspections will be held in a manner that respects the privacy and dignity of all residents.

- 18. All residents shall permit any authorized agent of the University to enter their room/apartment at all times for any purpose the University deems reasonable. Reasons for entry include, but are not limited to, the purpose of maintenance concerns and inspections, leaving notices, health and safety inspections, stopping excessive noise, enforcing and investigating University policy and regulations, and ensuring the safety, welfare, and comfort or all students of the University. University officials can enter for these reasons if there is no one present in the room.

- 19. As a condition of being allowed to reside on campus, all residents agree that their room or apartment may be inspected by the University at any time, with or without prior notice, for any purposes the University, in its sole discretion, deems reasonable and appropriate. Such inspections may include inspection of storage spaces, including but not limited to, drawers, filing cabinets, safes and automobiles, and residents hereby agree to give to the University full access to spaces upon request.

- 20. Traditional residence halls close during Christmas Break. Students living in these residence halls must check-out with a Residence Life Staff member prior to vacating their room at closing. Failure to check-out with a Residence Life staff member will result in a $50 improper check-out fee. Only students participating in University related events are able to stay during the break period. Students living in the apartments can request access to their living areas during these breaks within the contract period.

- 21. Each student is required to vacate his/her housing assignment within 24 hours of completing their finals. Graduates must vacate no later than 5pm on the date of Spring Commencement. Failure to do so will result in a $50 improper check-out fee.

- 22. Traditional residence halls are closed during the summer. Separate contracts/applications are used to assign summer residents. Summer residents are required to be enrolled in classes to reside on campus.

- 23. Residents should consider personal property/renters insurance. The University assumes NO liability for damage or loss of a student's personal property.

- 24. A student is responsible for all damage/cleaning in excess of normal wear and tear to his/her room or any other areas reasonably under his/her control including accidental damage. The cost to repair damage done to public areas may be charged proportionately to individual students if the responsible party or parties are unable to be determined.

- 25. All students need to complete the forms required by the Reinhardt Health Clinic including Health History, Meningitis Waiver and proof of immunizations. The forms and list of required immunizations are found under Health Services on the Reinhardt University website.

- 26. The University deems certain items are not allowed in the halls and apartments. Items include, but are not limited to: pets, candles, wax burners, open-flame devices, halogen lamps, Incense weapons, alcohol and alcohol paraphernalia, illegal drugs, and drug paraphernalia, among other items.

- 27. All residence halls and apartments are smoke/tobacco/vape-free environments.

- 28. Babysitting and childcare are not permitted within campus housing due to safety concerns and insurance limitations.

- 29. Residents are responsible for the conduct of their guests and visitors, including payment for any damages caused by their behavior. Additionally, residents must abide by the visitation policy set forth by the Office of Housing & Residential Life.

- 30. Fire warning and safety equipment are to be used only in case of emergency. False reporting of a fire other emergency, including a bomb threat or serious injury, is prohibited. Residents who trigger false or avoidable alarms are committing a criminal offense and violators will be prosecuted to the fullest extent of the law.

- 31. As mandated in the 2008 Federal HEOA, students can provide a confidential contact if they are determined to be a "missing person." A student is considered missing when he or she is reported absent from the University for more than 24 hours without any known reason.

- 32. I understand it is my responsibility to be aware of all policies and procedures as stated in the 2020-2021 Reinhardt University Student Handbook as well as all policies and procedures relating to Residence Life.

- In the event of an unforeseeable cause beyond the control of the University, including, but not limited to war, strikes, fires, flood, other severe weather, governmental restrictions, interruption of utility services, acts of nature, public health emergencies, epidemics/pandemics, acts of terrorism, governmental actions, or other unforeseeable accidents or damage or destruction, shall not be deemed a breach of this contract. The University reserves the right to maintain the safety of the housing facility, including but not limited to temporarily or permanently removing students from on campus housing. If the housing facilities and/or all or part of a housing facility is closed due to a force majeure event an emergency or natural disaster, the University may suspend or terminate this Contract without prior notice. If a Housing Facility is closed pursuant to the paragraph, the University will use their best efforts to provide students with alternative housing. Further, although not obligated to do so, the University will use its best efforts to rebuild or replace the affected Housing Facility.

2. To be eligible for 2020-2021 housing, you must have completed registration and have obtained your Fall 2020 class schedule prior to submitting this application.
